Getting Started & Setup
PassiveTask is a central hub for a construction project where everyone contributes — project managers, builders, trades, vendors, the certifier, and the homeowner can all see the project and contribute documents. It's purpose-built for the certification workflow of a certified build.
Projects are scaffolded around your target certification standard by the Certification Intelligence Engine. The structure — checklist items, required documents, and milestones — is generated for the standard you're pursuing rather than assembled by hand.
Yes. Portfolio Management & Templates gives your firm a library of reusable project templates and pre-verified products, so setup is faster and lessons learned on one project surface on the next.
The field experience is designed for zero-training adoption — snap a photo and it's captured and tagged automatically, and offline sync happens silently in the background with nothing for the user to manage.
Certification & Compliance
Yes. Because certifications like PHIUS layer on prerequisites (for example ENERGY STAR, Indoor airPLUS, and DOE Efficient New Homes), a single PassiveTask project record can serve as evidence for multiple overlapping certification bodies at once.
The Certification Intelligence Engine uses Azure AI to flag missing documents, expired certificates, and compliance gaps before your certifier does — eliminating last-minute scrambles and saving certifier review time.
Yes. Every PassiveTask project has a read-only certifier share link. Invite your certifier to review progress, compliance status, and documentation at any stage, with no account or subscription required on their end. Because they can engage mid-project instead of at the end, gaps get resolved weeks early.
Phase gating blocks a build stage from being logged as started until the prior phase's documentation is signed off. This proves procedural compliance was enforced in real time rather than reconstructed after the fact — something certifiers value.
Document Management
Upload documents to a project, space, component, milestone, or task. You can also drop in any file and let Smart Document Ingestion classify it for you.
Azure Document Intelligence reads dropped files and extracts values such as U-values, lambda values, manufacturer, and expiry dates, then auto-classifies each document to the right checklist item — no manual data entry, and it works with any format.
Yes. Version management keeps a clean history so you can see the changes and revert to or review previous versions.
Use AI-assisted search to find any document or asset on any project, or browse by project, space, component, milestone, or task.
Expiry dates are surfaced automatically during ingestion, and the compliance dashboard raises expiry alerts before a certificate lapses.
Field & Mobile Capture
Yes. Site workers snap photos directly from a phone and upload them to the project on the spot.
No. Azure Vision auto-tags each photo to the correct open checklist item, geo-tags it for traceability, and keeps the record current in real time.
Yes. Use speech-to-text to narrate and annotate files as you capture them, and mark up drawings and photos to call out specifics that could otherwise be missed.
Offline-First Field Mode gives you full functionality with zero signal. Everything queues on-device — with GPS preserved — and syncs silently when signal returns, so there's no data loss.
It's designed to work on any device — Android, iOS, and ruggedised tablets — without a separate native app per platform.
Collaboration & Access
Everyone involved: project managers, builders, trades, suppliers, the certifier, and the homeowner. Each gets a role-appropriate view of the same project.
Yes. Vendors upload directly, which removes bottlenecks and eliminates re-entry of vendor data.
Yes. The Universal Contributor Model provides role-based access so each contributor sees what's appropriate for them.
No. Pricing is flat with no per-seat fees, so you can bring in every stakeholder without worrying about seat counts.
Tasks & Workflow
Every gap becomes an assignable task with named accountability. Tasks are pinned with specific details and a zoomed excerpt from the blueprints so the assignee knows exactly what's needed.
Automated reminders fire and task status is tracked. Submissions enter a review queue where contributed material is approved before it counts, keeping quality controlled.
The dashboard shows what's missing, tasks are assigned, reminders fire, submissions come in, reviews close the gap, and the compliance score moves. Together the dashboard and the review workflow form a closed loop.
Yes. Phase gating blocks the next build phase from starting until the current phase's documentation is signed off, giving project managers real leverage with slow-to-submit subs and vendors.
Handover & Closeout
An As-Built Intelligence & Handover Package that auto-assembles a structured closeout — O&M manuals, warranties, test results, and photos — organised by component, giving the owner a complete digital asset record.
Yes. PassiveTask auto-generates rich PDF handoff documents from configurable templates.
Download project documents in configurable folder structures for easy sharing or archiving, including predefined configurations for PassiveTask certification and multiple configurable patterns for sharing with any third party.
AI & Automation
Azure-powered AI runs throughout: it flags missing and expired documentation, auto-tags site photos to checklist items, extracts data from ingested files, and surfaces expiry dates — removing most manual filing and data entry.
Sparkles is the AI assistant. In a single click it pulls documents, photos, and all needed component data from the PHI database, and it analyses site photos to help describe and tag them.
Pricing & Plans
No. PassiveTask uses flat per-plan pricing, with no per-seat or per-user fees on any plan. Every member of your project team, from architects, builders, and contractors to vendors and the homeowner, can participate under a single subscription.
How PassiveTask Compares
Procore is expensive and complex, and built for general contractors rather than certification-focused teams. PassiveTask is purpose-built for the certification workflow — a focus a general-purpose platform is unlikely to prioritise.
ACC assumes investment in the Autodesk BIM ecosystem and is specialised for complex 3D models — overkill for most residential and small commercial Passive House builds. PassiveTask works with the documents teams already have (PDFs, photos, specs) without requiring a Revit licence.
Generic SMB tools have no awareness of what “complete documentation” means for a certified build. Most small firms still run on email and spreadsheets and struggle to share data across multiple disconnected tools — PassiveTask replaces that ad-hoc setup with a single certification-aware system.
Passive House residential and small commercial builds first — documentation-intensive projects run by small, underserved teams — then expanding to LEED, WELL, Net Zero, and eventually any project requiring structured closeout documentation.
General Information
PassiveTask is available today. Book a demo and we'll set up your first project, invite your team, and have you contributing the same week.
PassiveTask supports PHI, PHIUS, and EnerPHit today, with the full checklist, evidence schedule, and submission format for each. LEED, WELL, and Net Zero are on the roadmap, and any project with a structured closeout benefits, certified or not.
Yes. PassiveTask is built offline-first. You can capture photos, update checklists, and log site observations with zero signal. Everything syncs automatically and silently when connectivity returns.
Your project data belongs to you. PassiveTask stores data on Microsoft Azure infrastructure with enterprise-grade security and compliance. You can export your complete project record at any time.
Yes. PassiveTask's Universal Contributor Model means your product data and certificates can be uploaded directly to projects by your team. The upcoming PassiveTask Product Verified programme will allow your products to be pre-validated across every project on the platform.
